Job Summary:

IPH is seeking an enthusiastic and energetic Senior Executive Assistant to provide direct support to our executive team and manage operations within our Scottsdale office.

This dynamic role combines administrative support for executives as well as overseeing office administration. The ideal candidate will have proven experience in executive support capability, innate ability to multi-task, prioritize competing deadlines and maintain a confidential nature. This role will interface with all levels of employees, as well as investors and clients. This person requires an individual that is adaptable, resourceful, and able to handle both high-level executive support and the daily needs of the office environment.

Job Location: Hybrid – Greater Phoenix

Main Responsibilities:

  • Ability to be flexible and move from strategic to tactical as requirements change.

  • Extremely detail oriented and possess strong organization skills to prioritize tasks and manage multiple projects in a fast-paced, changing environment.

  • Excellent written and verbal communication skills.

  • Ability to take initiative, anticipate needs and exercise independent judgement.

  • Sense of urgency, flexibility, and forward thinking.

  • High level of integrity and ethics to ensure confidentiality while assuming ownership and accountability.

  • Advanced technical knowledge of Microsoft Office Suite with desired emphasis placed on PowerPoint and Excel.

  • Manage all activities including calendar, travel, expenses, events, including international and domestic travel, accommodations, and trip logistics.

  • Assist Chief of Staff in coordination and planning for Board level activities.

  • General office management assignments as needed.

  • Enhance and promote Scottdale office location culture.

  • Be present in the office for visitors and organize meetings in event space as required.

Qualifications:

  • Bachelor’s degree in Business Administration, Communication, or related field or equivalent work experience.

  • 6+ years of providing administrative support to a senior executive.

  • Experience working in a global environment a plus.
